What we collect, and what we do with it.
ORQENTRA collects information in exactly one place: the enquiry form on our website. This page describes what that form collects, why, how we protect it, and how long we intend to keep it.

In plain terms.
Written to describe what actually happens to your information. If any of it stops being true, this page changes.
What the enquiry form collects
Every field below is something you type or choose yourself. The form asks for nothing else, and the server stores nothing else.
| Information | Why we ask |
|---|---|
| Name | So we know who we are replying to. |
| Email address | The only way we contact you. Any provider is fine. |
| Company or project | Context for the enquiry. |
| Your role | Helps us pitch the conversation at the right level. |
| Company size | Shapes what kind of system would suit you. |
| Industry | Optional. Lets us bring a relevant example. |
| What you want to automate | The areas you selected. |
| Whether it needs AI | Your answer of yes, no, or not sure. |
| Workflow description | Optional. What your team does manually today. |
| Timeline | How soon you are looking to start. |
Alongside these we store a record identifier and timestamps for when the enquiry was created, last changed and submitted.
Why we collect it
To understand your enquiry, evaluate the workflow you are asking about, and reply to you. That is the whole purpose. A person reads each enquiry and responds; there is no automated sales sequence behind it.
A submitted enquiry is used for business follow-up — replying, scoping the work, and any conversation that follows from it.
Incomplete enquiries
We may save the information you provide at the beginning of an enquiry even if you do not complete the form. This helps us avoid losing your contact details if you leave before finishing your enquiry.
An incomplete enquiry is not treated as a submitted one, and we will still respond if it looks like you meant to reach us.
Incomplete enquiries are retained for up to 90 days and are then deleted, unless there is a legitimate reason to keep them longer — for example, an ongoing conversation with you. If you would rather yours were not kept at all, email us and we will delete it.
What is collected automatically
Very little. When you submit the form your IP address is held briefly so that we can protect the form against automated abuse. It is kept for at most a minute, is never stored alongside your enquiry record, and is not used to identify you.
The site runs no analytics, advertising or tracking cookies. Fonts and every graphic are served from our own domain, so simply browsing the site does not send your details to a third party. Our hosting provider may keep standard server logs, as any web host does.
How we protect your information
Your enquiry is held in a secured database that is not open to the public internet. It cannot be read from your browser or by other visitors: access is restricted to our own server-side systems, which are the only thing permitted to read or write enquiry records.
Everything you send travels over an encrypted HTTPS connection, so it is protected in transit between your browser and us.
Access to enquiry information is limited to the people at ORQENTRA who need it in order to respond to you.
ORQENTRA has not undergone a third-party security audit or certification, and this page makes no such claim.
How long we keep it
- Incomplete enquiries: 90 days. If you never complete the form, we delete the record within 90 days, unless there is a legitimate reason to keep it longer.
- Submitted enquiries: 12 months — longer only where there is an active or ongoing business relationship that needs the record.
Being straight with you: these periods are our stated intention, and we carry out deletions as part of a periodic review rather than automatically. We would rather tell you that than imply a stricter guarantee than we actually operate. A deletion request from you is always actioned directly.
Access, correction and deletion
Email orqentraai@gmail.com from the address you used, or tell us which address to look up, and we will:
- send you a copy of everything we hold about you,
- correct anything that is wrong, or
- delete your enquiry entirely.
We aim to respond within 30 days. If local law where you live gives you rights over your personal information, we will honour a request of this kind regardless of where you are.
Third-party processing
We do not sell or rent your personal information. When you submit an enquiry, the information you provide may be processed through trusted third-party tools and service providers that help us receive, organize, process and respond to your request. These services may also be used to automate internal workflows related to your enquiry. They receive only the information necessary to perform these functions.
What we do not do
- We do not run advertising, analytics or tracking cookies on this site.
- We do not enrich, score or profile you against outside data sources.
- We do not add you to a mailing list or an automated drip sequence.
- We do not ask for payment details, government identifiers or any special-category data.
Changes, and who to ask
If what we collect or how long we keep it changes, this page is updated and the date at the top changes with it.
Questions about any of this go to orqentraai@gmail.com. This page describes our practice; it is not legal advice.
